Separate informational support from work that requires identity verification, account access, refunds, transactions, safety judgment, or legal interpretation. A knowledge agent can explain a process; it should not claim it completed an action it cannot perform.
Choose the first question set
- FrequentThe question consumes meaningful team time.
- StableThe approved answer does not change minute by minute.
- Low riskA wrong or incomplete answer can be corrected without serious harm.
- DocumentedThe team already has or can approve the source.
- EscalatableThere is a clear next step when the answer is not enough.
Prepare answer-ready knowledge
Turn the most important issues into direct Q&A pairs with conditions and links. Keep troubleshooting steps ordered and include stop conditions. Identify the current source owner and remove old versions.
Test beyond the happy path
Ask vague questions, frustrated questions, requests involving private accounts, unsupported products, conflicting details, and policies that have exceptions. Confirm the response is useful without pretending to know or do more than it can.
Measure the right outcomes
Review whether users receive a relevant answer, reach the correct source, or get the right handoff. Track knowledge gaps and weak answers. Do not claim cost savings or resolution rates until you have a defined measurement method and real data.
